Privacy Policy

The Türkiye-EU Business Dialogue (TEBD II) is an EU-funded project implemented by Eurochambres on behalf of the Delegation of the European Union to Türkiye (hereafter the “Project”). Eurochambres is the Association of European Chambers of Commerce and Industry, a nonprofit international organization headquartered in Brussels, Belgium (www.eurochambres.eu).

Eurochambres has signed a grant contract n° IPA III/2024/458-440 with the European Union to implement the Project within the framework of IPA III financial Instrument of the European Union.

The Project is managed by Eurochambres, in close cooperation with the Association of Turkish Chambers of Commerce and Industry (hereafter “TOBB”). The overall objective of the project is to strengthen mutual knowledge and understanding between Turkish chambers, business communities and their counterparts in the EU, thus promoting the integration of EU and Turkish business communities and ensuring a stronger awareness of the opportunities and challenges of a potential future Türkiye’s accession to the EU in both Türkiye and the EU.

The Project will run over 36 months, from October 2024 to October 2027, and will include a wide range of collaborative activities. These will feature high-level business dialogues, SME surveys, SME workshops in the EU and Türkiye, and efforts aimed at capacity building, such as Study Visits, Chamber Academies, and Support Programs focused on energy efficiency, sustainable growth, and aligning with EU Acquis. These activities will help enhance the capabilities of both Turkish and European chambers.

This Privacy Policy outlines how Eurochambres (hereafter “we”, “us”, “our”) processes your personal data through the participation in the project including any data you may provide to us when you use our forms, sign up to our newsletter or submit an inquiry or comment.

Personal data means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data).

We process your personal data in compliance with the European General Data Protection Regulation (EU) 2016/679, applicable national data protection laws and in accordance with the purposes, requirements and restrictions that are set out in this Privacy Policy.

We partner with Microsoft Clarity and Microsoft Advertising to capture how you use and interact with our website through behavioral metrics, heatmaps, and session replay to improve and market our products/services. Website usage data is captured using first and third-party cookies and other tracking technologies to determine the popularity of products/services and online activity. Additionally, we use this information for site optimization, fraud/security purposes, and advertising. What personal data do we process?

We may process different kinds of personal data that you communicate to us, including email addresses, names, phone number, country, employer’s name, function, username or other identifier, password, academic records/qualifications, biographical information, motivation to participate in the activities, and any other data that you may share with us.

If you participate in a conference, event or meeting, we will keep a record of your participation and we may also process, among others, your travel details (i.e., ID, passport and boarding passes etc.), dietary restrictions, feedback and/or survey forms, photographs and videos, as well as transcripts and recordings.

How do we use your personal data?

We may use information from you or about you:

• to implement the Project and to manage your participation in the project, this includes communicating with you about activities, conducting surveys, interviews, hosting information days, organising study and monitoring visits, workshops, training courses, and events (e.g., Business dialogues, seminars, conferences, forums, business summits, online matchmaking, physical B2B meetings etc.), writing minutes, taking attendance lists, distributing newsletters to you;

• to collaborate with you as a partner;

• to promote the Project and to disseminate the Project’s achievements to the wider public, this includes marketing the Project through the use and publication of pictures, testimonials and videos via different channels (e.g., Projects’ website, social media etc.);

• for IT purposes, such as enhancing our website and identifying website usage trends.

With whom and how do we share your personal data?

In the course of the implementation of the Project as outlined in this policy, we may disclose your personal data to:

• to the staff of Eurochambres, TOBB, the Delegation of the European Union to Türkiye and the European Commission on a need-to-know basis for the above purposes;

• to our service providers who provide services such as event organisation, translation and interpretation, travel arrangements, platform hosting, software provider, data analysis, IT services, e-mail and direct mail delivery services, auditing services, and other services, in order to enable them to provide such services;

• as we believe to be necessary, if permitted or required by applicable law.

With your consent, we may also use and disclose information collected in other ways.

The disclosure of personal data to the recipients set out above may involve the transfer of personal data to other jurisdictions (e.g., Türkiye) outside the European Economic Area (“EEA”). Such countries may not have the same data protection laws as our jurisdiction. What is our legal basis for processing your personal data?

Our legal basis for processing your personal data in the context of the Project and related services will depend on the personal data and processing activity involved and the specific context in which it was obtained. This can be:

- our legitimate business interest to manage the Project (e.g., communication with stakeholders, development of the infrastructure, managing our IT systems and audits etc.);

- our compliance with legal and regulatory requirements under applicable laws (e.g., keeping records for tax purposes or for accounting, providing information to public authorities);

- your consent, when we process your personal data for specific purposes, in such case your explicit consent will be requested in advance (e.g., videos and pictures). You always have the right to withdraw your consent at any time by using the contact details below.

How long do we retain your personal data

We only retain personal data for as long as is reasonably necessary to fulfil the purposes we collected it for, including the purpose of satisfying any legal, regulatory, reporting or auditing requirements (usually for five (5) years after project termination). We may retain your personal data for a longer period in the event of complaint or if we reasonably believe there is a prospect of litigation.

What are your rights

You have the right to:

• Access the personal data we hold about you and to obtain a copy.

• Obtain the rectification of your personal data if it is inaccurate.

• Obtain the erasure of your personal data.

• Ask us to stop using your data, if you believe something is wrong, while we sort out the problems.

• Receive the personal data you have provided in a commonly used format, so you can take it somewhere else if you wish.

• Object to the use of your data for marketing purposes at any time.

• Lodge a complaint with your national Data Protection Authority, if you believe your rights are not being respected.

Event visibility - photographs and/or videos during events

By taking part in our Project events as a panellist or speaker, you grant us, TOBB and the European Commission full rights to use the images resulting from the photography/video filming, and any reproductions or adaptations of the images for dissemination purposes on our, TOBB’s or the European Commission’s websites and social media accounts, and in publications. We take appropriate technical and organisational measures to safeguard and protect your personal data against unauthorised or unlawful processing and against accidental destruction, loss, access, misuse, damage and any other unlawful forms of processing of the personal data in our possession.
